Special functions, conditions of use
You must submit your application one month prior to the function.
You must also liaise with FM Assist prior to publicising an event for advice and tentative approval.
Special functions include:
- O'Week
- Foundation Day
- Night Markets
- Festivals
- Bands
- Faculty functions
- Charity drives
- Displays
- Promotional events
Documentation required
Your application will only be assessed on completion of the following documentation:
- Outdoor Function Booking Form
- a timeline of all activities
- a completed Risk Assessment covering all activities. The Risk Assessment must be signed by the person responsible for the event.

- Risk Assessment and Control Form
- Risk Assessment and Control Procedure
- if alcohol is being sold at the function, a liquor licence must be obtained
- a list of organisers phone numbers and email addresses
- if marquees or stalls are required, a map of layout and bump-in/bump-out request from supplier
- You should also familiarise yourself with the document Outdoor Function - Conditions of use.
